WPO: Getting Started With Email

A step-by-step guide to creating and managing your WPO email

As part of our WPO services, we offer a basic email service through RoundCube to our clients. The services come with the ability to create an unlimited amount of email accounts and emails, as long as they fit within the 10GB storage capacity (additional storage can be added at 5GB for $10 per month).

Before you get started, we do want you to be aware of a few key things before you setup an email with us:

  • The email is a basic RoundCube email offered as a courtesy with the service and made for business services. If you are looking to use the email for marketing purposes, we would highly recommend looking into a more robust service such as Google Workspace or Microsoft 365.

  • If you’re currently using an email service like Google Workspace or Microsoft 365, we recommend continuing with them instead of setting up an email with us. These services offer a broader range of features that our email service doesn’t provide. If you decide that you want to migrate over anyway, please be aware that we cannot migrate email history.

  • Once you change your domain’s MX record, the email will stop working with whomever you had it with previously, instead emails will be routed to your BigScoots email.

  • For setting up, you must have the domain added to the WPO dashboard already, and be able to access the domain records - all found under ‘My Sites.’

Now that you know the conditions of our email services, you can follow the guides below to set your email up.

Set-up Domain For Email

In this section, we will go over the set-up process to activate a domain for your WPO email.

  1. Log into your WPO portal and click 'Email' on the left side-bar.

  2. Make sure the domain you want to associate the email with is selected in the top left corner, then click 'Activate.' You will now get a loading screen as it activates the email.

  3. Your domain now has email enabled. To check, look to see if Email Status says 'Active.' If Email Status says 'Issue Detected,' please open 'No MX Records Found' for the solution.



No MX Records Found

In some cases, the Email Details page may show Email Status as 'Issue Detected.' In these instances, you can do the following:

Go to 'Email' and then select the option 'Email Deliverability' from the top. Within the 'Email Deliverability' section, you can click 'Fix' by the record to fix it.



Create an Email

In this section, we will go over how to add an email to your email enabled domain. After you have set up your email like below, you can then migrate a previous email by following ‘Migrating an Email.’

  1. From the 'Email Details' page, you can create an email by clicking 'Add New Email.'

  2. A popup will appear. Within the pop-up, input the email you want, the password and select whether the storage should be limited or unlimited before clicking 'Add.'

  3. Your email has now been created! You will now be able to view it from 'Email Details.'



Migrating an Email

For those looking to migrate a previous email, this section will walk you through the set-up process. If you have not already, please complete the two above sections to set up your email for migration, then you can follow below to migrate:

  1. From the Email Details page, click 'Migrate' on the right side of the email you wish to migrate.

  2. A form will appear requesting your email details. Please enter the old server hostname (see below) and password, along with the new password you created when setting up the email in Create an Email. Once complete, click 'Migrate.'

  3. A message will appear letting you know that all information is correct for the email migration. You will also receive a WPO notification once the email has been fully migrated.

Common Server Hostnames

For help with step #2, here are a few common server hostnames/ places to find hostnames to move you along in the process.

  • Outlook - imap.mail.com

  • cPanel - cPanel >> Home >> Email >> Email Accounts >> Connect Devices

    Copy the Incoming Server under Secure SSL/TLS Settings

  • SiteGround - SiteGround >> Email (in left menu) >> Accounts

    You will find Email configuration on the bottom right where the Incoming Server is the hostname.



Manage Email Accounts

Now that you have your email account set up, you may follow the below guides to manage it as needed.

Access Email Account

Now that you have an account created, you can access the email. The main method to access email from your WPO portal is to click the 'Check Email' button to the right of your email. Once clicked, you will be taken directly to your webmail account.

A secondary way to access your email is by logging into Webmail directly by going to webmail.scoots.email

On the Webmail page, you can view your emails by clicking ‘Open’ under ‘Open your inbox.’

Edit Email Account

If you need to change your storage or password, you can do so directly from your WPO portal. To update your storage or password, click the ‘Manage’ button to the right of your email.

A popup will appear where you can either set the storage and password respectively. Once complete with either, click ‘Update Storage’ or ‘Update Password.’

Delete Email Account

If you'd like to delete your email account, you can do so from your WPO portal. Under the ‘Action’ section, you'll find a red trash bin icon. Click it, and you'll be prompted to confirm your decision. To proceed with the deletion, click ‘Proceed.’
